Employee Handbook Template (Word)

Employee Handbook Template (Word)

$49

A ready-written document you adapt to your business. Instant download.

This employee handbook template puts every rule your staff need in one place, written once and signed for.

Used properly, this is what it does for your business:

  • ✓More customers: a team that knows the standard you expect gives every customer the same service.
  • ✓More profit: fewer mistakes, fewer disputes and less of your time spent answering the same questions.
  • ✓Less stress: when a problem comes up, the rule is already written down and signed for.
  • ✓Look the part: a proper, signed handbook to show any new hire, client or auditor who asks.

Why not a free employee handbook template? Many free ones are written for one country or one state, padded with policies a small business does not need, or locked inside a tool you pay for before you can edit them. This one is a working handbook in Word that works in any country, with a worked example and a sign-for-receipt page, written by a company director of over 30 years.

"Plain Standards have continually under-promised and over-delivered. Outstanding service." Paul J, ATM Security

A new starter asks how to book a day off. Someone else was told something different last year. A row about pay or behaviour lands on your desk, and the only rules are the ones in your head. When nothing is written down, every answer depends on who you ask, and that is where arguments, mistakes and disputes begin.

In over 30 years running companies at director level, I have written employee handbooks for businesses as different as a care company with a nursing team of more than ninety, an aviation company under constant safety regulation, and maritime security teams working at sea. In every one, the same thing paid off. When people know the rules, they make fewer costly mistakes, new staff earn their keep sooner, customers get the same service whoever turns up, and you spend your time running the business instead of settling arguments. And if a dispute does go further, you can show the rule was written down and signed for.

Who this is for

Any business with staff and no written handbook yet, or one that is out of date, in any country: a trade business, a shop, a restaurant, an office, a care provider or a small manufacturer. It suits a business with no HR department, and you don’t need any HR knowledge to fill it in.

It is a starting point, not legal advice. Employment law differs from country to country, and in the US from state to state, and it changes. Have your finished handbook checked by an employment lawyer or adviser where you operate before you issue it.

What it looks like filled in

The worked example inside the template follows a plumbing and heating firm in the US with 14 staff. Here is its handbook in brief:

  • How the handbook works: the not-a-contract wording kept; their lawyer added an at-will statement.
  • Who to ask: the owner for most things, and the office manager as a second person for reporting harassment.
  • Hours and time off: 7:30am to 4:00pm, vans back by 4:30pm; ten days of paid time off plus six public holidays, asked for two weeks ahead.
  • How we work together: dust sheets down and boots off in customers’ homes; photos of every job before and after; no alcohol or drugs at work or in company vans.
  • Acknowledgment: all 14 staff signed within a week, and the handbook is reviewed every January.

The template walks you through the same decisions for your own business, section by section.

This is a ready-made employee handbook (staff handbook) in Microsoft Word: 18 sections you adapt to your business, with example wording you can keep, change or delete.

The sections run in the order your staff need them: welcome; how the handbook works; who to ask; starting with us; hours, timekeeping and breaks; pay and expenses; time off; how we work together; equal treatment, harassment and bullying; health, safety and wellbeing; equipment, phones, email, social media and AI; confidential information and personal data; raising a concern; discipline; leaving; keeping the handbook up to date; words explained; and an acknowledgment page for each person to sign.

It also comes with a removable Start here page, a short note from me on keeping one set of rules current, a worked example, a US and a UK note wherever the law differs, and a legal checks box reminding you to have the finished handbook checked.

Stop answering the same questions every week

Hours, pay day, booking time off, reporting sickness, who to ask: written down once, so every member of staff gets the same answer and you stop answering the same questions.

Fewer legal surprises, wherever you trade

The handbook is written to work in any country. A legal checks box tells you exactly what to confirm with a local adviser, so nothing slips through. For the two biggest markets it goes further: wherever US and UK law differ, a short note shows what to check, such as at-will employment in the US and the UK’s April 2026 changes to sick pay and paternity leave.

Deal with problems quickly, fairly and on the record

Conduct, alcohol and drugs, and harassment, with two named people to report to, so nobody has to report to the person they are complaining about. A route for raising a concern, and discipline steps that keep the right to act at once on gross misconduct.

Proof that everyone was told the rules

The last page is an acknowledgment for each person to sign and hand back. Keep it in their staff file, and you can show that everyone was given the rules.

Nobody working from last year’s rules

The handbook tells you who keeps it up to date, where the master copy lives and when it is reviewed, so nobody is working from last year’s rules. When something changes, you change the master and tell people.

A head start if a customer asks for ISO 9001

ISO 9001:2026 does not ask for an employee handbook by name, but a handbook helps show your people know your policies and the behaviour you expect (clause 7.3), and keeping one controlled master copy is the kind of document control the standard requires (clause 7.5.3). You don’t need any of that to get value from it today.

Where this leads

Why buy from us

  • ✓Built by a company director, not an auditor. Written by someone who ran real businesses before building management systems, so what you get works in the real world, not just on paper.
  • ✓Written in plain English. No jargon, no clause-speak. If you are new to ISO 9001, it will make sense on day one.
  • ✓The Operator's Take, in every document. Look inside any Plain Standards document and you will find a boxed note called The Operator's Take: a short, plain comment from someone who has run businesses, explaining why this document actually matters to yours, and how to get real value from it, not just tick a box for an auditor. No other provider gives you this, because it comes from having sat in the chair.
  • ✓Honest, unaccredited, and clear about it. A genuine route to a working system, with no false claims and nothing hidden.

Is there a free employee handbook template?

Yes, free ones exist, and some are fine. Many are written for one country or state, or for large companies, and need heavy editing before they fit a small business. This template is ready to adapt, with US and UK notes, a worked example and a page for staff to sign.

Is this employee handbook template in Word?

Yes. It is a Microsoft Word file (.docx) that you download straight away and edit like any other Word document. It also opens in Google Docs, though a few layout details may shift outside Word.

Is there a PDF version?

It comes as a Word file so you can edit it. Once your handbook is finished, save it as a PDF from Word (File, Save As, PDF) and give that to your staff, so nobody can change it by accident.

Is it suitable for a small business?

Yes. It is written for small and medium sized businesses with no HR department. Fill in what applies to you, delete what doesn’t, and add any rules your business needs.

Does it work for UK businesses?

Yes. It is written for US and UK businesses, with a short note wherever the law differs, such as the written statement each UK employee must get on or before their first day. It is a starting point, not legal advice.

Does it cover California law?

No template can cover every state’s rules. California, like several other states, has extra requirements on things such as paid sick leave and final pay, and the rules change. The notes show where to check, and you should have the finished handbook checked by an employment lawyer or adviser who knows your state.

Can a restaurant use it?

Yes. Add the rules that matter in a restaurant, such as food hygiene, tips, shift swaps and uniform, and delete anything that doesn’t apply.
