ISO 9001:2026 Gap Analysis Template
ISO 9001:2026 Gap Analysis Template
A ready-written document you adapt to your business. Instant download.
Find out exactly how close your business already is to ISO 9001, in an afternoon, with no jargon and nobody looking over your shoulder.
Used properly, this is what it does for your business:
- ✓More customers: know in an afternoon how far you are from what buyers ask for.
- ✓More profit: buy only what you are missing, not a pile you already have.
- ✓Less stress: a short honest to-do list replaces "where do I even start".
- ✓Look the part: walk into any certification conversation knowing exactly where you stand.
Why not a free template? Many free ones are written for a different industry, locked until you buy a tool to edit them, or built to the old edition. This one is fully editable, written for any business, and built to the 2026 edition in plain English by a former company director. One avoided mistake easily covers the cost.
"Plain Standards have continually under-promised and over-delivered. Outstanding service." Paul J, ATM Security
Someone has told you that you need ISO 9001. A customer, a bigger contract, a tender you want to win. And the moment you start reading about it, your heart sinks.
It looks like a mountain of paperwork. Clauses, procedures, audits, terms you have never used. It looks like exactly the sort of thing that gets in the way of running the business rather than helping you run it. You have a company to keep moving, and now there is this.
Before you spend a penny or an evening on any of it, there is one sensible first move. Find out how much of it you already do.
Who this is for
This is for anyone who has been told they need ISO 9001 and wants to know the size of the job before spending a penny. If a customer, a tender or a contract has raised it and you would rather understand your own business than pay someone to explain it back to you, start here.

This is a gap analysis. That is a plain-English term for a simple exercise: you compare how your business runs today against what ISO 9001 asks for, and you find the gap between the two.
It is 28 straightforward questions about how your business really works, grouped into the areas the standard covers. For each one you tick Yes, Partly or Not yet, and jot a note if you want to. You do it at your own desk, in your own time, and nobody sees your answers but you. There is no pass mark and nothing to be nervous about. You do not need to know a single thing about the standard to use it, because every question is written in normal language.
At the end you add up a simple score, and a short honest guide tells you what it means and what is worth doing next. Whatever your number, it comes with no lecture. Low scores get certified all the time. The score is just a starting photograph.
What it gives you, before certification even comes into it
Here is the part nobody tells you. This is worth doing even if you never chase a certificate.
Because the 28 questions are about how your business actually operates, your "Not Yet" answers show you where you are exposed right now. The job only one person knows how to do. The suppliers nobody has checked in years. The complaints that get sorted but never counted, so the same one keeps coming back. None of that is about passing an audit. All of it is costing you time, money or customers today, and this drags it into the light so you can deal with it.
It quietly starts your paper trail
There is one more thing this does, and it is the honest heart of the whole ISO journey. A certificate is not given for having the right documents. It is given for showing that your business actually does these things, day to day, with a trail of evidence to prove it.
The moment you fill this in, you have created the first piece of that trail: a dated, written snapshot of where you stood at the start. Keep it. When you come back in a few months and see how far you have moved, that is exactly the kind of record an assessment looks for. The sooner you start, the sooner that clock starts ticking in your favour.
Written for the current 2026 standard
ISO 9001 was updated in 2026. This gap analysis is written in line with that current standard, so you are measuring your business against the up-to-date rules, not an old version. If you have been putting this off until you were sure you had the current thing, this is it.
Part of a complete ISO 9001:2026 system
The gap analysis is the natural first step. Once you know where your gaps are, these are the documents that close them:
- Document control procedure
- Internal audit checklist
- The ISO 9001:2026 Certification-Ready System, the complete pack

A note on where this fits
This is one core document, and it is genuinely useful on its own. A complete, certifiable quality management system is more than any single document: it needs the full set, including the quality manual and the system-level documents. If you decide to go all the way, The ISO 9001 Certification-Ready System brings the whole thing together. This is a sensible step, not the finish line.
Why buy from us
- ✓Built by a company director, not an auditor. Written by someone who ran real businesses before building management systems, so what you get works in the real world, not just on paper.
- ✓Written in plain English. No jargon, no clause-speak. If you are new to ISO 9001, it will make sense on day one.
- ✓The Operator's Take, in every document. Look inside any Plain Standards document and you will find a boxed note called The Operator's Take: a short, plain comment from someone who has run businesses, explaining why this document actually matters to yours, and how to get real value from it, not just tick a box for an auditor. No other provider gives you this, because it comes from having sat in the chair.
- ✓Honest, unaccredited, and clear about it. A genuine route to a working system, with no false claims and nothing hidden.
Frequently asked questions
What is an ISO 9001 gap analysis?
An ISO 9001 gap analysis is a simple comparison between what the standard asks for and what your business already does, which gives you a written list of the gaps you need to close. It is normally the first thing anyone does on the road to ISO 9001, because it tells you the size of the job before you commit money or time. A good deal of what the standard asks for, you will already be doing without calling it that. This gives you full credit for those and isolates the genuine work.
How do you do a gap analysis for ISO 9001?
You work through each area of the standard in turn and record honestly whether your business fully meets it, partly meets it, or does not address it at all. This tool does exactly that in 28 plain-English questions across the seven areas the standard covers, clauses 4 to 10, with a Yes, Partly or Not yet against each and room for notes. Answer as your business runs today, not as you intend it to run, because an optimistic gap analysis hides the work instead of revealing it.
Is there a free ISO 9001 gap analysis checklist?
Free ISO 9001 gap analysis checklists do exist, but they usually give you the clause numbers without explaining what they mean for a business your size, which is the part that actually decides whether you pass. Many are the standard's contents page reformatted into a spreadsheet, written for auditors rather than for the owner being audited. If your budget is genuinely zero, a free checklist beats nothing. If you intend to be certified, you want the questions in language you can answer without a dictionary, and the plain reason each one matters to your business.
What format does the gap analysis come in?
It is supplied as an editable document you can work in directly, tick your answers, add notes and save as you go. Keeping your completed copy matters, because it becomes your baseline and your record of progress. Nothing is locked, watermarked or time limited. Once you have bought it, it is yours to use within your own business.
Do I need a gap analysis before ISO 9001 certification?
No, a gap analysis is not a formal requirement of ISO 9001, but skipping it usually costs more than it saves. Certification assesses your operating system against the standard, and the most common reason small and medium sized businesses stall is that nobody knew what was missing until an outsider pointed it out. A gap analysis moves that discovery to the beginning, where it is cheap to fix, instead of the end, where it is not.
Is this up to date with the 2026 version of ISO 9001?
Yes, this gap analysis is written in line with the current ISO 9001:2026 standard, so you are assessing your business against the up-to-date rules. The 2026 update kept the same ten-part structure and added a small number of points, and those are reflected in the questions. You do not need to worry that you are working from something out of date.

I bought the ISO 9001 Gap Analysis a few weeks ago and I’ve found it really useful. It made it so much easier to see what I was missing and what I needed to work on. The user instructions were superb too. Everything was explained really clearly, so I didn’t have to spend ages trying to figure out what I was supposed to be doing. It’s saved me a lot of time.
