$29

A ready-written document you adapt to your business. Instant download.

Know at a glance who can do which job, and close the gap before it costs you a customer.

Used properly, this is what it does for your business:

  • ✓More customers: the job is done right whoever is on shift, so customers get the same good service every time.
  • ✓More profit: less work lost when someone is off, and new starters doing useful work sooner.
  • ✓Less stress: no more panic when the one person who knows how is away.
  • ✓Look the part: written proof that your people are trained and checked, for any customer, insurer or inspector who asks.

Why not a free skills matrix template? Many are a blank grid with vague ratings, no training record and no plan for closing the gaps. This one has all three, written by a former company director who has trained staff for over 30 years.

"Plain Standards have continually under-promised and over-delivered. Outstanding service." Paul J, ATM Security

Most small businesses run on what people know, not on what is written down. That works until the one person who can do a job is off sick, on holiday or handing in their notice. Suddenly nobody can open up, run the machine or answer the customer's question, and the work stops.

In over 30 years running businesses, I have trained a lot of staff, and the simplest tool for keeping the work going has always been a skills matrix: every task down the side, every person along the top, and a rating in each box. This template is that tool, with a training plan and a training record built in, ready to use.

Who this is for

Any business with a team: a café, a care provider, a workshop, a warehouse, a building firm or an office. If you are taking on new staff, covering holidays and sickness, or relying on one or two people who know everything, this is for you. You do not need any experience of training or HR, and you do not need to be working towards a certificate.

View full details

This is a ready-made skills matrix template in Microsoft Word, with a training plan and a training record in the same document. You fill in your own team and tasks; the structure is already done for you.

It covers everything you need to manage skills in a team: a cover with reference number, sign-off and record details; a simple 0 to 3 rating scale, from not trained to can train others; the skills matrix, with a column to mark the tasks each role must have; a gaps and training plan with a due date and done date for every action; a training record showing who was trained, how, and who checked they were competent; when to review it; and the key words explained.

It also comes with a removable Start here page, a short note on rating people properly, and a worked example you can copy: a small café where only one person can answer customers' allergy questions, and how that gap is closed. One template, as many teams as you need: make a fresh copy for each team or department.

See every gap at a glance

Tasks down the side, people along the top, a rating in each box. In two minutes you can see the job only one person can do, the new starter not yet signed off, and the skill nobody has refreshed in years. Those are the gaps that cost money when someone is off, so those are the ones you close first.

Ratings that mean something

Many skills matrices use vague ticks or "basic, good, expert". This one uses a clear 0 to 3 scale with a plain definition for each, and a simple rule: nobody is marked as able to work on their own until someone competent has watched them do the job properly. A certificate shows someone passed on the day; watching them work shows they can still do it now.

A training record built in

Every piece of training goes in the training record: the date, the person, the task, how they were trained, and who checked they were competent. So when a customer, an insurer or an inspector asks how you know your people can do the job, you can show them in writing.

A plan to close the gaps

The gaps and training plan turns what the matrix shows into action: who needs training, in what, how, by whom, and by when, with a done date for each. Nothing stays a good intention.

A worked example to copy

Inside you will find a finished example for a four-person café. It shows the tasks, the ratings, the gap that matters most (only one person can answer allergy questions), the training plan that closes it, and how the training is recorded. Copy the pattern for your own team, then delete the example.

Ready if you ever go for certification

In ISO 9001, this is the evidence of competence the standard asks for (clause 7.2): who needs which skills, how you made sure they have them, and the records to prove it. You do not need any of that to get value from it today, but if you ever go for certification, your training records will already be in good order.

Where this leads

Why buy from us

  • ✓Built by a company director, not an auditor. Written by someone who ran real businesses before building management systems, so what you get works in the real world, not just on paper.
  • ✓Written in plain English. No jargon, no clause-speak. If you are new to ISO 9001, it will make sense on day one.
  • ✓The Operator's Take, in every document. Look inside any Plain Standards document and you will find a boxed note called The Operator's Take: a short, plain comment from someone who has run businesses, explaining why this document actually matters to yours, and how to get real value from it, not just tick a box for an auditor. No other provider gives you this, because it comes from having sat in the chair.
  • ✓Honest, unaccredited, and clear about it. A genuine route to a working system, with no false claims and nothing hidden.

What is a skills matrix template?

A skills matrix template is a ready-made table for showing who in your team can do which task, and how well: the tasks down the side, the people along the top, and a rating in each box. Instead of starting from a blank page, you fill in your own team and tasks, and the gaps show up at a glance.

What is the difference between a skills matrix and a training matrix?

The two names are often used for the same thing. A skills matrix usually shows what each person can do now; a training matrix usually shows what training each person needs or has had. This template does both: the matrix shows the skills, and the training plan and training record show what training is needed and what has been done.

Does it include a training record?

Yes, a training record is built in. For every piece of training you record the date, the person, the task, how they were trained and who checked they were competent, so you have written proof of your staff training.

Is there an Excel version?

No, it is a Word document, laid out to be filled in, printed, signed and kept as a record. The matrix has room for five people; for a bigger team, use one copy per team or add columns in Word.

Is this skills matrix template in Word?

Yes, it is a Microsoft Word file (.docx) that you download instantly and edit like any other Word document. It also opens and edits in Google Docs and other word processors that read .docx files, though a few layout details may shift slightly outside Word.

Does it include an example?

Yes, it includes a worked example for a four-person café, showing the tasks, the ratings, the most important gap, the training plan that closes it and how the training is recorded. It sits in a removable box, so you copy the pattern and then delete it.

Is there a free skills matrix template?

Yes, there are free ones online, and some are fine for a quick list. Many, though, are a blank grid with vague ratings, no training record and no plan for closing the gaps. This template includes all of those, a worked example, and a note on rating people properly.

Can I use this skills matrix for ISO 9001?

Yes, it gives you the evidence of competence ISO 9001 asks for in clause 7.2: the skills each role needs, the training given, and records showing people were checked as competent. It is written for any business, so you do not need to be working towards certification to use it.
